If your client requires a purchase order number on an invoice, obtain the approved reference from the client and check it before sending. Do not invent a PO number or replace your own invoice number with it. They identify different records.

Invoice number versus purchase order number
Your invoice number identifies the bill you issue. The client’s PO reference identifies its purchasing record. A project nickname, an email approval and a PO reference are not automatically interchangeable. Ask the client which reference its payment process requires and where it should appear.
| Item | Who to confirm with | What to record |
|---|---|---|
| PO requirement | Client purchasing or billing contact | Required, not required, or pending |
| Reference | Authorized client contact | Exact text, including letters and leading zeros |
| Scope match | Project owner | Service, milestone, currency and approved amount |
| Submission route | Accounts payable | Mailbox or portal and required attachments |
| Receipt | Billing contact | Submission date and acceptance or exception |
A short confirmation message
Subject: Billing reference check for [project]
Before I submit invoice [invoice number], please confirm whether a PO is required. If yes, please provide the approved reference, the billing entity, and the submission address or portal. The invoice covers [milestone] for [amount and currency]. Please flag any mismatch so I can resolve it before submission.
Use placeholders only while drafting; replace them before sending. This is an original example, not a message sent to a real client.
If the PO is missing or does not match
Record the exception and ask the purchasing contact to clarify. If the authorized amount differs from your agreed work, reconcile the difference with the project owner. Do not silently change the service description, currency or price to force a match. If the client confirms that no PO is needed, retain that confirmation with the billing record.
A PO check cannot guarantee payment. It addresses one possible administrative obstacle. Delivery acceptance, disputes, client cash position and payment processing can still matter.
Where Zoho Invoice puts the reference
Zoho’s official FAQ says the Order Number field can hold the client’s PO reference and displays it as the PO number on the invoice PDF. If the field is missing, the FAQ advises checking whether Simplified View is enabled. Verify the exported PDF before sending: Zoho Invoice PO number documentation.
Do not assume every invoicing product uses that field label. If your existing tool already prints the required reference clearly, changing software is unnecessary for this task.
When software is worth evaluating
A small invoice volume may need only your existing document editor and a simple log. Evaluate invoicing software when repeated field omissions, version confusion or submission tracking consume measurable time. Hypothetical example: six corrections at 15 minutes each consume 90 minutes. At an internal labor value of $30 per hour, that is $45 of time—not a cash saving or a promised software return. Compare any subscription with measured time recovered and the client’s actual requirements.
One next step
Add a “PO confirmed / not required / pending” column to your invoice tracker. Resolve pending entries before the next submission. Keep the invoice amount, paid amount and remaining balance separate from the approval status.
