If a payment arrives without an invoice reference, verify the settled transaction and ask the customer which invoice it covers before allocating it. An amount that looks familiar is a clue, not proof. Keep the receipt and invoice records separate until the match is supported.
This operational checklist is for freelancers who handle a small number of customer invoices. It is not tax, legal or accounting advice, and it is not a hands-on review of a payment service. Official software documentation was checked on October 26, 2026. No affiliate links are included.
Separate three identifiers
The invoice number identifies your bill. A purchase order number identifies the client’s purchasing approval. A payment transaction reference identifies a transfer. They may be connected, but one should not be invented or silently substituted for another. For the pre-invoice step, see our purchase order checklist.
Use a match record instead of a guess
| Evidence | Record | Why it matters |
|---|---|---|
| Transaction | Settled date, amount, currency and available reference | A payment notice alone may not establish receipt |
| Customer | Known customer name and remittance contact | The sender label may differ from the trading name |
| Allocation | Invoice number and amount applied to each invoice | One transfer can cover more than one bill |
| Explanation | Customer confirmation and any unresolved difference | Prevents treating an unexplained balance as a fee or discount |
Example: two invoices, one transfer
Suppose invoice A has USD 400 outstanding and invoice B has USD 250 outstanding. A settled USD 650 transfer arrives with no invoice number. The amounts are compatible with paying both bills, but that does not confirm the intended allocation. Ask the customer to identify the invoices.
After confirmation of USD 400 to A and USD 250 to B, record those two allocations against one receipt. Do not create two separate USD 650 receipts. If only USD 640 arrives, the USD 10 difference remains unexplained until supported; do not automatically label it a bank charge, discount or write-off. These are hypothetical arithmetic examples, not reported transactions.
A neutral message to request details
Thank you. We can see a payment of [amount and currency] dated [date], but the reference does not identify the invoice. Please confirm the invoice number or numbers and the amount allocated to each. If available, a remittance advice with unrelated sensitive details removed would help us match it accurately.
Use a known contact channel. This template requests matching information; it does not ask the customer to pay again.
Record the confirmed receipt once
Zoho Invoice’s official help describes recording offline receipts against invoices, including partial payments, with payment date, mode, reference and notes. This is a software capability, not a method for proving an unidentified transaction belongs to a customer. Confirm the match first and check whether an integrated gateway has already recorded the receipt before adding a manual entry.
Our invoice tracker guide explains the balance side. A separate receipt log is a practical free alternative when volume is small: keep one row per settled receipt and a clear allocation note. A spreadsheet is less suitable when multiple people need controlled reconciliation or audit workflows.
When to pause
Pause if currencies differ, a transfer is still pending, the sender is unknown, or multiple matches remain plausible. Do not mark every possible invoice paid or send a duplicate payment demand. If the issue is two genuine receipts for one invoice, use the separate duplicate payment checklist.
Next action: complete one receipt-to-invoice match record and obtain confirmation for any uncertain allocation.
